Jewish Federation of Arkansas, a small non-profit, seeks an Operational Support Coordinator to handle all office and event finances; take on general office responsibilities; support the Social Worker position and assist the Executive Director (ED).
Applicants should be detail-oriented and community-minded; excellent bookkeeping/Quickbooks and writing skills are a must. Knowledge of Judaism and/or the Jewish community preferred.
This position will work with the management team; contributing to the development and implementation of organizational strategies, policies, and practices. This position will also interact with the Board of Directors, volunteers, and members of the Jewish and non-Jewish communities.

High School Diploma or equivalent + at least 3 years experience in similar work
1. Bookkeeping and Financial Management:
a. Responsible for all aspects of bookkeeping.
b. Complete payments and control expenses by receiving, processing, verifying, paying, and reconciling invoices/bills.
d. Manage financial operations to include daily cash/check/credit administration (deposits, withdrawals/checks, transfers, fees, account access, etc.) and management of accounts and bank relations. This includes ensuring the names on accounts are kept up-to-date as officers and policies change.
e. Ensure all pledges and gifts are received, processed in QuickBooks, acknowledged, and receipted accurately and in a timely manner.
f. Support the annual campaign process by tracking pledges and payments by donor, record pledges and payments in QuickBooks, send communications and statements, and reporting on campaign data as needed.
g. Ensure all financial transactions are properly approved and recorded in QuickBooks as well as any other system of record required according to the annual budget. Process financial reports on transactions or events as needed.
h. Work as needed with the accountant to reconcile accounts, proof transaction records, and prepare for audits and reviews. Prepare monthly balance sheets and operating statements for board meetings, according to the specifications of the Board Treasurer.
i. Assist the ED in the preparation of budgets for the fiscal year as well as events.
2. Office Operations
a. Answer phone, greeting callers, establishing reason for calling, and resolving request/issue by providing the necessary information or contacting appropriate resources. Also responsible for taking and delivering messages within a timely manner and transferring calls.
b. Responsible for routine correspondence, including pledge letters, contribution receipts, pledge reminders, notifications, invitations, or other information, as requested, to the Board and/or broader community.
c. Assist in scheduling of events, meetings, and appointments for the organization, staff, clients, and volunteers.
d. Receive and sort incoming mail to distribute or process as needed.
e. Maintain the online community calendar and make routine updates to the webpage.
f. Assist the ED in the preparation of materials for the Action newsletter.
g. Maintain and update all records associated with JFAR. This includes mailing lists, Family Case records, camp scholarships/recipients, programs, and anything else associated with the function of the organization.
h. Code, file, and retrieve records as needed and ensure system is well organized.
i. Take minutes at monthly board meetings and prepare minutes for approval by the Board Secretary.
j. Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
k. Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
l. Maintain the required confidentiality in regards to sensitive information. This includes but is not limited to social service calls, scholarships, grant applications, and financial information.
3. Event Planning and Execution Assistance
a. Assist the ED, social worker, and volunteer committees with strategic planning for events.
b. Research and book facilities and assist the ED, social worker, and volunteers in the management of event details such as decor, vendors, food/catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material, etc.
c. Assist in volunteer recruitment and management. This includes tracking and following-up with volunteers to ensure task completion.
d. Serve as liaison between the ED/volunteer leadership committee and event vendors.
e. Assist ED and social worker with all publicity related to events and meetings. This includes invitations, online publicity, website updates, other print publicity, and the preparation of mailing lists.
f. Position requires attendance and work at some after-hours events and meetings. This includes event set-up/clean-up and could involve some light lifting.
